Use regular expression to automatically organize files by their name in Windows, using Copywhiz

You can configure Copywhiz for your file copy and backup tasks using regular expression. We have a short video that will show how to automatically organize files in separate folders based on the regular expression you specify.

Video Transcript:

  1. For our video, we took a folder with various files named by employee name in the format of First name followed by last name.
  2. We will now create a folder by the last name and place files in them accordingly using regular expression.
  3. Select the files, right-click and add them to Copywhiz.
  4. Go to the destination folder, right-click and choose Copywhiz Paste Advanced.
  5. The Copywhiz main window will open. Click on the Advanced Settings button in there.
  6. In the Destination Tab, choose the option ‘Organize files inside folders based on name, type, date, etc.’
  7. Click on the Organizer button.
  8. Under the file property section, choose ‘File Name’ and under the format section, choose ‘Regular Expression’ from the drop down.
  9. Type the expression ^(?:\w+ ){1}\K\w+ which will select the second word in the file name.
  10. Click on OK and Paste Now.
  11. You will see the files pasted in separate folders based on the second name of the employee.

Run Copywhiz program without logging into the Windows PC

We have received many queries regarding running Copywhiz without having to log in to Windows.

You can do that, and this post will tell you how.

Once you schedule a project, you can have it run without being logged in to your Windows PC. This is because Copywhiz schedules the project using Windows Task Scheduler.

So once you have scheduled a project in Copywhiz, you should be able to configure the Windows Task Scheduler to run that process with higher privilege so that the user doesn’t have to be logged in.

2. In Windows Task Scheduler you should be able to see a folder called Copywhiz . Under that you will see the task.

  1. Open properties for your task and select the option “Run whether user is logged in or not” and “Run with highest privileges”.

4. If you want to run the project even when the computer is switched off, go to the Conditions tab and make sure you check “Wake the computer to run this task”.

That’s it! Now the project will run at the scheduled time even when you are not logged in on your system.

Right-click on the Notezilla icon and select ‘Desktop notes’-> ‘Arrange notes’.

The following box will appear where you can choose to arrange your notes based on different criteria like date created, modified, accessed, due date and note title, in either ascending or descending order.

Copy or backup files created, accessed or modified in last ‘X’ days in Windows

This post will show you how to copy or backup files created, accessed or modified in last ‘X’ days. It is real quick with the tool call Copywhiz (for Windows)

When we are working on a project, we access and modified several documents scattered in various folders. After certain days, how you will identify which files were touched? Doing this manually is extremely tedious or say, virtually impossible.

Here is where Copywhiz comes to your rescue by letting you do a selective file copy/backup. You can copy files created in the past ‘X’ number of days. So instead of specifying a date range of files created between this and this date, just mention the number of days, says 15 days.

Copy only files created, accessed and modified in the last ‘X’ days

1. After you select your files in Copywhiz, go to the destination folder and Choose ‘Copywhiz -> Paste Advanced’.

2. The Copywhiz main window will open. Choose the Advanced Settings Tab from there.

3. Go to the Source Tab and under the ‘Paste by date’ section, choose the criteria and specify number of days in the box.

You can preview the files that will be copied and skipped, before actually copying them.

4. Click on ‘OK’ and ‘Paste Now’.

This feature removes the biggest difficulty we all face- remembering dates! This will also ensure you don’t spend time and effort copying extra or unwanted files due to the date ranges.

  1. If you are not able to run Notezilla, skip steps 2, 3, 4 & 6. You can directly open the data folder by running %appdata%\Conceptworld\Notezilla from the Windows start menu. Similarly, open backup folder %appdata%\Conceptworld\Notezilla\Backup from the Windows start menu. Note that these are default locations where Notezilla stores its data.
  2. To know where Notezilla stores the data, right click on Notezilla icon, choose Preferences from the menu and click on the Advanced tab.
  3. On the Advanced tab, you will see “Data Folder” and “Backup Folder.” These are the locations where Notezilla stores its data and keeps five backup copies of its sticky notes data.
  4. Copy the data folder location from Advanced tab & open in Windows Explorer.
  5. Notezilla stores data inside a file named Notes or Notes8. They might appear as Notes.db or Notes8.db in some computers.
  6. Copy the backup folder location from Advanced tab and open in Windows Explorer.
  7. You will see that Notezilla keeps multiple backups (date-wise). Open the backup folder which contains the latest and correct data.
  8. Copy the backup file Notes8.db to the main data folder. Make sure you exit Notezilla before copying the data file by clicking on Notezilla icon in the taskbar and selecting Exit from the menu.
  9. Make sure you rename the existing Notes8.db file in the data folder and Paste the copied file with a right-click. Run Notezilla to access the restored notes.

You can follow similar steps when you want to move Notezilla‘s sticky notes data from one computer to another.

Duplicating a sticky note in Notezilla on Windows

Often, users want to create a copy of an existing sticky note containing exact text content.

It is possible to duplicate a sticky note in Notezilla without manually copying and pasting the text to another sticky note. This feature is useful when you wish to work on a copy of a sticky note without touching the original.

E.g., You can keep a set of sticky note templates with standard content & create a copy whenever required.

“My sticky notes are gone. What should I do?”

Often we get support queries that say ‘My notes are gone. What should I do?’.

In all the cases we have seen, there was nothing to panic. The data did not get corrupted, or the data was not lost. It just misplaced due to some change in configuration settings (Windows profile, moving of folders, reinstallation, etc.)

Here are the different things you need to try when you do not find your notes:

May be the sticky notes are just hidden.

Right click on Notezilla icon in the taskbar (next to the clock) and choose Desktop Notes->Show All Notes.

May be the sticky notes are off your desktop

Sometimes, when changing the display resolution of your desktop, the notes go off the desktop. Right-click on the Notezilla icon in the taskbar (next to the clock) and choose Desktop Notes->Layout->Stickers.

May be Notezilla is not seeing the right data folder.

  1. Go to Notezilla’s preferences. To access Notezilla’s Preferences, go to the Notes Browser, choose Advanced->Preferences from the menu.
  2. Click on the Advanced tab and note the data folder where Notezilla is looking for the notes data.
  3. Exit Notezilla.
  4. Search your whole computer (all drives) for Notes.db file. Check the size of this file and its date modified. Find the biggest file and the latest one. Copy this file to the above data folder.
  5. Launch Notezilla and check if you see your sticky notes.

May be the backup folder has your notes data.

Notezilla keeps five copies of the backup under the backup subfolder.

Windows 10: C:\Documents and Settings\(user name)\Application Data\Conceptworld\Notezilla\backup\
Windows 8/7: C:\Users\(user name)\AppData\Roaming\Conceptworld\Notezilla\backup\

Each copy is stored in a subfolder, date wise. Go to each folder and check the size and date of the Notes.db file. Find the biggest file and the latest one. Copy this file to the above data folder. To know the exact path of the data folder, go to Notezilla Preferences. To access Notezilla’s Preferences, go to the Notes Browser, choose Advanced->Preferences from the menu. The Advanced tab will show the right data folder path.

The quick reply feature in NoteZilla

Quite a few customers have requested a ‘Reply’ feature in Notezilla. When somebody sends a sticky note, you should be able to reply to the sender using a single click quickly.

Notezilla does have a way to reply quickly. But it is not called ‘Reply.’

When you receive a sticky note, modify it and press the Ctrl+G key and hit enter to send the note to the sender. What exactly happens here? Ctrl+G brings the ‘Send To Contact’ window. Also, Notezilla automatically selects the sender of the note in the list. Hitting enter picks the selected sender and sends the note over the network.
