Using Copywhiz

  1. Select the files from the source folder and right-click on them and choose Copywhiz–>Copy as shown below:
  1. Right-click inside the destination folder where you wish to create your first .zip file and select Copywhiz–>Paste Advanced:
  1. Copywhiz window will open with the destination folder already selected. Here you need to select ‘Paste as compressed .zip file’ option from the drop-down (under Paste tab) and then add multiple .zip file locations. Separate each file with a comma (,).

    If you don’t want to type them manually, you can click on the ‘Add’ option next to the box. This option lets you browse to a destination folder and specify a .zip file name. This feature ensured that you create the file in the right place.

  1. Click on ‘Paste Now’ and it will automatically create .zip files at all those folders you specified.
  2. You can cross-check by clicking on the file icon next to the dialogue box. It will open the destination folders for you. All your files would have been copied there.

Scheduling it for your backups

Why rename files?

During your file copying process, you often get a pop up notifying that the file already exists in the destination. You are asked if you want to replace or skip or keep both the files. Copywhiz can automatically rename the destination files. Plus, you can also specify a rename suffix of your choice. This feature is useful to differentiate the older file with a newer file. You can suffix the file with terms like ‘_old’ etc.

Steps to create directory structure only without copying the files inside them

Using Robocopy

Robocopy /XF file [file]… command lets us to replicate the whole directory structure without copying the files inside them. To copy empty directories, you must include the /e command-line option.

For Ex: To copy the folder “pictures” to the folder “project” without the files in it, the following command line will be used:

Robocopy C:\pictures e:\project /XF

However, Robocopy commands are not straightforward. System administrators may be able to use it. But, Robocopy is confusing for ordinary users.

Let me now show you a more comfortable and faster method.

You would have frequently heard and seen people using sticky notes on their desktop to organize their tasks better. This practice is beneficial to keep track of things. The shortest way to pin a sticky note to any window (website, doc, folder, program, etc.) is to press Ctrl+Shift+W from within the sticky note. The note will stick immediately to the active window.

To stick a note to a particular website:

  1. Open a website. Let’s take amazon.com as an example:
  1. Choose ‘New Note’ by clicking on the Notezilla icon in the task bar and write your note.
  1. Click on the top-left button (Note Menu button) of the sticky note and choose ‘Stick to Window’ from the note menu list.
  2. A dialog box appears with the list of all the programs running on your system.

  1. Choose the website where you want to stick the note.
  2. The ‘Hide note otherwise’ option will hide the sticky note automatically if you are not on that particular website.
  3. Now press OK.

Time to use the wildcard!

Notezilla uses the title of the window to show or hide a particular sticky note. Sometimes, you may want to stick a note to documents of a similar kind. In such cases, you would need to use the ‘wildcard’ method.

To match only a part of the window title, double click on any window title that is listed (shown in the picture below) and prefix or suffix the title with the * wildcard.

Ex: If you add * at the end of the website title amazon.com*, then the sticky note will appear on all windows having the title beginning with ‘amazon.com.’
Similarly, you can also add * at the beginning of the window title, *amazon.com. This will match all windows having their titles ending with ‘amazon.com’.

Copying files as a .zip file

  1. Right-click on the folder/folders from which the files need to be copied and choose Copywhiz–>Copy from the menu as shown below:

  2. Go to the destination folder where you wish to create the .zip file and select Copywhiz–> Paste Advanced.

  3. Under the paste options select ‘Paste as compressed .zip file’, specify the .zip file name and click on ‘Paste Now’. You can use the %date% or %datetime% variables to create a separate zip file each time. Just type the variable, and it will be automatically updated.

Scheduling backups

You can even schedule your file copying to create backups or, in simple words, create multiple copies automatically from time to time. All you need to do is:

1. Click on the ‘Paste later (Schedule)’ button. Once clicked, the following Window will appear that will let you set your preferred backup frequency.

2. After setting your preferred frequency, click on ‘Schedule Now’ so that Copywhiz automatically runs the projects at a specified time for creating multiple copies.
